What we collect, why we collect it, and what you can ask us to do with it.

1. Scope

This policy explains how Be Virtual Technologies Private Limited, trading as Be Virtual, collects, uses, discloses and protects personal data when you visit this website, create an account, book a service or visit one of our locations.

2. Data we collect

  • Account data — name, email address, phone number, password hash, company name and billing address.
  • Verification data — identity and business documents submitted for products that require statutory verification, such as a virtual office address.
  • Transaction data — orders, subscriptions, invoices, payment references and ledger entries. Full card numbers are never stored on our systems; card data is handled entirely by our payment gateway.
  • Support data — helpdesk tickets, messages and any attachments you send us.
  • Technical data — IP address, browser and device information, pages visited and the time of access, collected through server logs and strictly necessary cookies.
  • Premises data — access-card events and, where installed, CCTV footage of common areas, retained for security purposes.

3. Why we use it

We process personal data to create and operate your account, deliver the services you have booked, generate and collect invoices, meet statutory obligations including tax and identity verification requirements, secure our premises and systems, respond to support requests, and — where you have opted in — send you service updates and offers.

4. Legal basis

We process data to perform the contract you have entered into with us, to comply with legal obligations, on the basis of our legitimate interest in operating and securing the business, and on the basis of your consent where consent is required, such as for marketing email.

5. Sharing

We share personal data only with parties who need it to deliver the service: our payment gateway for processing payments, our email delivery provider for transactional email, our hosting and infrastructure providers, our professional advisors, and government authorities where disclosure is required by law. We do not sell personal data.

6. Retention

Account and transaction records are retained for as long as the account is active and thereafter for the period required by tax and company law. Verification documents are retained for the statutory period applicable to the product. Helpdesk records are retained for a rolling period to support service history. CCTV footage is retained on a short rolling cycle and overwritten thereafter.

7. Security

Passwords are stored only as salted one-way hashes. Traffic to this site is encrypted in transit. Access to production data is restricted to authorised staff, is logged, and is reviewed. Payment credentials are not stored by us. Despite these measures, no system can be guaranteed absolutely secure, and you should use a unique password for your account.

8. Your rights

You may ask us to give you a copy of the personal data we hold about you, correct data that is inaccurate, delete data that we no longer have a lawful reason to keep, or stop sending you marketing communications. Requests can be raised through the helpdesk in your account and are answered within a reasonable period. Some data must be retained despite a deletion request where law requires it.

9. Cookies

We use strictly necessary cookies to keep you signed in, protect forms against cross-site request forgery and remember your cart. We do not use advertising cookies. Blocking necessary cookies will prevent the portal from working.

10. Children

Our services are offered to businesses and to adults. We do not knowingly collect personal data from children.

11. Changes

Updates to this policy are published on this page. Material changes are notified by email to registered account holders.

12. Contact

Privacy questions and rights requests should be raised through the helpdesk or sent to our support mailbox.
